When this is the right move
You have a workflow that is already defined in real life: a tracker, a shared inbox, a weekly report that someone rebuilds by hand. Off-the-shelf SaaS almost fits, but the exceptions are the job.
What I typically replace
- Excel or Google Sheets used as a database
- Status that only exists in someone’s head or inbox
- Duplicate entry between tools that do not talk to each other
- Reports that take a morning to assemble
